Beyond the sale: Why optical reports matter

Reports may not seem like the most appealing part of running an optical business, but they are important in making it sustainable, says Belinda Musitano.

As an optical dispenser who runs a group of three independent practices, I’ve learned that what happens behind the scenes in our practice management system is just as important as what happens in the consulting room or at the dispensing table.

Like many practices, we use Optomate. Over time, I’ve come to rely on the optical reports within the system – not just to monitor performance but to guide me on where we can identify training needs, improve patient experience and ensure long-term sustainability.

Reports aren’t about numbers for the sake of numbers. They’re about clarity and understanding. I believe looking at your data monthly in detail is essential for understanding your business and making small improvements regularly.

The first report I review monthly is our optical sales performance report (KPI Report). Of course, revenue matters, but what I’m really looking for is behaviour, patterns and trends when comparing each month.

• Conversion rate

• Average sale value

• Multiple pair sales

• Remakes/warranties

• Own frame usage

• New patient numbers, compared to existing

• Recall numbers and success

These metrics tell a story. If our average sale value drops, it may indicate hesitancy in recommendations, lack of confidence in lens technology discussions, or missed opportunities to educate patients about their options. This allows us to chat about this in our team meetings and get a consensus on our action for the following month.

If I notice. for example. that more people are using their own frames it may prompt me to have a discussion with the team about why this is happening, and then we come up with a plan to reduce this.

Tracking own-frame dispense helps ensure we’re balancing patient convenience with business sustainability.

Conversion rate is one of the most powerful indicators. It reflects trust in clinical recommendation and the optical team’s ability to communicate value. If our conversion rate fluctuates, I ask:

• Are handovers from consulting room to dispensers strong and consistent?

• Are we confidently explaining lens differences and benefit to patients

• Is our pricing process clear and transparent?

Also, warranty and remake reports are incredibly revealing.

If remake rates are creeping up, it may reflect measurement inconsistencies, communication gaps about adaptation, or unrealistic patient expectations.

Rather than viewing warranties as a cost of doing business, I see them as feedback. They show us where processes may need refining. Often, a small process improvement can significantly reduce remakes.

The monthly KPI report gives us an objective starting point and allows me to have team discussions where we reflect and consider things we might be able to do better.

Another report I review is lens and product mix.

This tells us:

• The proportion of single vision
vs progressives

• Coating sales (AR, blue light, photochromic)

• Premium lens recommendation

• Lens index

• Frame brand performance

If premium lens uptake is low, that’s a training opportunity, not necessarily a patient affordability issue.

It may mean we need to review how our dispensers are uncovering needs via their questions and recommending solutions to the patients; it might mean we need to review how we offer it.

Similarly, reviewing frame turnover guides my buying decisions. I look at what is moving, what is not, how to refresh that, or what ranges we need to move on and replace.

Employee reports (sales):

Used correctly, staff-level reporting is one of the most valuable tools. I use individual optical performance data for development conversations.

• Who is consistently achieving strong multiple-pair results?

• Who has a lower average sale value? And comparing lenses to frame averages?

These insights allow me to have constructive conversations about dispensing, how they are recommending, and if there are gaps in knowledge or confidence that I can assist to address and improve.

One of the most overlooked reports is clinical billing item reporting.

Reviewing Medicare item usage and billing patterns helps ensure appropriate use of item codes, consistency across optometrists, and identification of underused services or missed opportunities.

If certain items are rarely billed, it may highlight a training gap or equipment underuse.

If billing patterns vary significantly between optometrists, it prompts a constructive discussion about clinical protocols and documentation.

Strong clinical billing supports both compliance and sustainability.

Independent optometry in Australia operates in a competitive landscape. Corporate groups have sophisticated reporting structures and performance dashboards.

For independents, practice management software like Optomate gives us access to similar analytical capability – if we choose to use it.

Optical reports are not about pushing sales. They are about ensuring we are confidently recommending the best solutions for patients, training our team effectively, maintaining business sustainability, and identifying problems early rather than reacting late. Ultimately, strong optical performance supports strong clinical care. A financially healthy practice can invest in better equipment, ongoing education, and staff development.

Data doesn’t replace clinical judgment or patient connection, but it does sharpen them.
